QR kiosk on a shared tablet

Updated on October 18, 2026

The QR kiosk is a clock-in screen designed for a shared tablet at the entrance of your warehouse, shop or office. It shows a large clock and the camera always active: each person holds up their personal QR code, the platform records the clock-in or clock-out, and the screen confirms it on the spot. Nobody types anything, and no employee needs their own phone or computer.

If you're still setting up your account, start with Getting started.

What you need

  • A tablet (or any device with a browser and camera), plugged in and with the screen set to never turn off.
  • Your company's kiosk token: a unique key that identifies the device as an authorised kiosk of your company.
  • An internet connection. The kiosk page is served over HTTPS, which browsers require in order to use the camera.

1. Get your company's token

The token is created automatically when the company is registered; you just have to copy it:

  1. Log in to the dashboard as a company administrator (the only person who can view and regenerate the token).
  2. Go to Kiosk token (side menu, "Administration" section).
  3. There you'll see the current token and the Open kiosk screen button, which opens the clock-in screen with the token already included in the link.

Treat the token like a password: anyone who has it can open a kiosk screen for your company. Don't publish it or send it through insecure channels.

2. Set up the tablet

  1. On the tablet, open the browser and visit the Open kiosk screen link (or type /kiosko#token=... with the copied token). You only need to do this once: the token is stored on the device itself and disappears from the address bar.
  2. Grant the camera permission when the browser asks. The kiosk uses the rear camera if the device has more than one.
  3. You'll see the clock, the date and the camera viewfinder with the scan line. The kiosk is ready.

If the screen says "This device is not configured", you opened /kiosko without a token: go back in using the link from step 1.

The kiosk screen gives no access to any data: it shows no employees, entries or reports. It only scans codes and confirms each entry. And opening it signs out of any panel session in that browser (including "Remember me"), so nobody is left signed in on the tablet and it can sit in plain sight in a walk-through area. If you later sign in to the panel again on the tablet, sign out when you are done.

3. How each person clocks in

Each employee has a personal, non-transferable QR code, generated automatically when their user is created (including users brought in with the importer).

  1. Hold your QR code up to the tablet's camera.
  2. The screen confirms the entry: "Ana García — Clocked in at 9:02:15".
  3. A few seconds later the kiosk starts scanning again, ready for the next person.

There's no choosing between clock-in or clock-out: the type toggles automatically — after a clock-in, the next entry is a clock-out, and vice versa. Unless that clock-in is from an earlier day and is already older than the company's "Maximum shift length" (14 hours unless it has been changed in Settings): then the clock-out is taken as forgotten, the entry is a new clock-in and that clock-out is requested as an incident. And unless you have just clocked in the app or the dashboard (less than 5 minutes earlier, online or offline; also if the confirmation did not reach you): the kiosk takes the scan as the same clock event repeated and only one remains, unless the app or the dashboard also has an earlier one still unsent (see below). If that event had already arrived, the screen says so and shows its time; if it arrived and was left pending review (for example, without the location the company requires), the screen says so with its type and time, and it is still that same event: if that incident is rejected or withdrawn, the kiosk scan is recorded with its own time, unless you had already repeated it before (at the kiosk, in the app or in the dashboard) or that clock event is already on record (for example, because you repeated it afterwards in the app) or falls after your last working day, if your leaving date is set earlier: only the first repeat is recorded, and the others were that same event. To clock the opposite within those 5 minutes (for example, going back in right after a clock-out made in the app), use the app or the dashboard, scan the QR again 5 minutes after that time, or request it as an incident.

With clock events still unsent in the app or the dashboard. The kiosk only knows what has already arrived. If the app or the dashboard saved clock events offline that have not been sent yet, the kiosk toggles without them and may record the opposite of what is due: for example, this morning's clock-in and clock-out are still in the app and you repeat the clock-out at the kiosk (it records a clock-in), or you clock out in the app with no signal and clock back in at the kiosk (it records another clock-out). When they are sent, there is one kiosk scan too many or one with the wrong type, and it is not corrected on its own. While the app or the dashboard has clock events waiting to be sent, clock there. If it has already happened, request an incident on that kiosk scan: «Duplicate clock-in (annul it)» if it is extra, or «Clock event with an incorrect time» with the right type.

If the working day is registered as remote work, the entry is tagged as remote, exactly the same as with the other clock-in methods.

Each entry is stored with the qr method, the time in UTC (converted to your company's time zone for display), and the kiosk's IP and device.

Regenerating the token

If you suspect the token has leaked, or you retire a device that had it stored:

  1. Go to Kiosk token and press Regenerate token.
  2. Confirm. The previous token is invalidated instantly.

When you regenerate, all previously configured tablets stop working and will show "Invalid kiosk token". Open the Open kiosk screen link with the new token again on each one.

If something doesn't work

The screen says… What it means
"Code not recognised." The scanned QR doesn't match any employee. Check that it's the personal AccessTime QR and not some other code.
"Invalid kiosk token." The stored token is no longer valid (it was probably regenerated). Reconfigure the tablet with the new link.
"Camera permission denied." Enable the camera permission for the browser in the device settings.
"This browser doesn't support the camera…" Use a modern browser and make sure you open the page over HTTPS.
"The entry could not be recorded." A one-off error; it retries when you scan again. If it persists for everyone, the company's free trial may have ended without a subscription, which leaves the account read-only and disables clocking in.
"This kiosk screen is from an earlier version…" The kiosk page was opened before an AccessTime update and is still running the earlier version: that scan has not been recorded. Reload the page on the tablet and scan the QR again.
"… already recorded at … (clocked in the app…)" What you just clocked in the app or the dashboard (online or offline) was already on record, and the kiosk took this scan as the same clock event: nothing new was recorded. If you meant to clock the opposite, do it in the app or the dashboard, or scan the QR again 5 minutes after the time shown.
"Connection error…" The kiosk got no answer and does not know whether your scan arrived. Scan the QR again within 5 minutes: if the previous scan did not arrive, this one is recorded now; if it did, it is not recorded twice and the screen tells you what is on record.
"… already recorded at … (the previous scan got no answer…)" Your previous scan, the one with "Connection error", did arrive and was recorded at that time; this scan recorded nothing, but it is logged. If you now meant to clock the opposite, scan the QR again.
"… at …, saved offline in the app or the dashboard, is pending review…" What you just clocked offline in the app or the dashboard arrived and is pending review (for example, without the location the company requires), and the kiosk took this scan as that same clock event: nothing has been recorded now. If it is approved, it is on record with its time; if it is rejected or withdrawn, the first scan that repeated it is recorded with its own time (this one, if you had not repeated it already), unless that clock event is already on record (for example, clocked afterwards in the app or the dashboard) or falls after your last working day, if your leaving date is set earlier; the others are that same event and are not recorded separately. If you meant to clock the opposite, do it in the app or the dashboard, or scan the QR again 5 minutes after the time shown.

Kiosk entries end up in the same record as those from the web dashboard and the mobile app, and are consolidated every night into each person's workday.
